AmeriCamp Canada Agreement

AmeriCamp Canada is not a temporary employment agency and should not be regarded as such. When working at summer camp you are employed by your camp, as per your contract of employment. At no point in this process are you employed by AmeriCamp Canada. Our role is to facilitate, advise and support your placement process. AmeriCamp Canada does not own the camps that we work with.

The purpose of this program agreement is to clearly detail our expectations of you as an AmeriCamp Canada applicant as well as what you can expect from AmeriCamp Canada as your recruiter.

Applicants on the AmeriCamp Canada program fall into one of the following categories:

  1. First time applicants – You are a first time applicant if AmeriCamp Canada is finding you a camp placement for the summer. Applicants who have previously worked in Canada at a summer camp but are wanting to work at a different camp than previous years are also classed as first time applicants.
  2. Returner applicants – Returners are those who have already worked at a camp in Canada and are looking to return to the same camp again. They will have already arranged a summer camp position directly with the camp they are returning to.
  3. Direct Placements – Direct placements are applicants who have already found and secured a summer camp position before signing up with AmeriCamp Canada..

Program Fees

  1. To apply to the AmeriCamp Canada program you will be required to pay Program Fees directly to AmeriCamp Canada and to selected third-parties.
  2. Program fees can be paid: a) in stages (and must be paid when you submit each stage of your online application form), b) in full (within 7 days of paying your initial deposit), or c) in monthly installments (which vary depending on the date you pay your deposit for the program)
  3. All fees are due by May 15th, 2021. If you are accepted after this deadline, all fees must be paid within 14 days of a successful interview.
  4. A £50 surcharge will apply to your fees for an Employer Specific Work Permit Package – if this is the Visa option that you choose.
First Time Applicants:

* The monthly instalment option is not available if you sign up to the AmeriCamp program on or after March 1st 2021 and you will be required to pay in Stages.

** A £50 surcharge will apply on top of these fees for an Employer Specific Work Permit Package – if this is the Visa option that you choose.

Direct Placements:
  1. Application Fee: £49. This payment must be paid when you submit your online application form to AmeriCamp Canada. Your status as an applicant will not be confirmed until this payment has been made.
  2. Placement Fee: £180. This payment must be made within 14 days of being ‘placed’ with your camp on our placement system.
Returners:
  1. The Returner program fee is £95. This must be paid upfront when signing up for the returner program.

Additional Costs

Additional costs must be paid as and when they arise. AmeriCamp Canada may facilitate the collection of certain fees on behalf of the third party. These additional costs may include (but are not limited to);

  1. Criminal background check; all criminal background checks must be an ACRO, completed through NPCC only.
  2. Fee for your medical form; you may incur a fee from a medical professional to complete your medical form. AmeriCamp Canada is not responsible for and cannot control this cost as this will be charged at the discretion of your medical professional.
  3. Your Work Permit or IEC fee; see the ‘Visa (IEC or Employee Specific Work Permit)’ section for more details about this.
  4. Your travel expenses to and from the venue for an AmeriCamp Canada Job Fair or an AmeriCamp Canada Orientation Day.
  5. Your flights to and from Canada.
  6. Travel from your arrival airport in Canada to your camp destination/pick up point. Some camps will arrange this for you. This is your responsibility as an applicant to confirm this with your camp after your contract has been secured.
  7. Overnight accommodation upon arrival in Canada. Some camps will arrange to pick you up the morning after your arrival date. You are responsible for covering the cost of accommodation until your journey to camp. Some camps may choose to pay this cost for you. This will need to be discussed with your camp.
  8. If quarantine is a requirement for entry to Canada, please see Point 6 of “Medical History”.
  9. If a camp requires you to have immunisations prior to departure for camp, the fees for this will be your responsibility. These measures are for the safety of the children and staff at camp. If you decide against obtaining immunisations, your camp may withdraw your employment offer and AmeriCamp Canada cannot be responsible for this. We will work with you to find a new camp placement, however, fees are non-refundable.

You agree to pay these additional costs as they arise. Failure to do so will result in your application being withdrawn from the program. If you are having trouble paying these costs within the set time-frames, please contact the AmeriCamp Canada office as soon as possible so the team can provide assistance.

Acceptance and Placement

  1. AmeriCamp Canada will conduct an interview to help you better understand the program and to assess your skills, experience and suitability for camp. Your acceptance onto the AmeriCamp program is dependent upon a successful face to face interview. If you are unsuccessful in your interview we will process a full refund of your deposit.
  2. You may receive conditional acceptance onto the program requiring you to attend the AmeriCamp Canada Job Fair in order to secure your placement. If you are accepted on this condition and do not attend the fair, you will be cancelled without a refund of your application fee.
  3. Placement at a camp in Canada may occur any time from after your acceptance onto the program until July 10th 2021, or until it is no longer possible to obtain a visa in time for your arrival to camp or until there is a lack of demand from camps.
  4. Your application, camp type choices, skills, experience, level of English and references will determine your placement at a camp by AmeriCamp Canada. All placements are final. You will be notified of all the details of your camp placement, including; your arrival and departure details, travel instructions, and your contract dates.
  5. During the period of being on review with a camp, the camp director (or other camp representative) may get in touch with you via email to arrange an online interview. It is your responsibility to respond to this interview request and attend the interview. If you fail to do so and, in turn, do not get placed at an alternative camp, you waive your right to a refund.
  6. You must inform AmeriCamp Canada as soon as possible with any changes in your contact information. If we are unable to contact you on the details that you provide in your application we reserve the right to cancel you from the program with no refund. This includes you not being in receipt of emails if you have chosen to ‘opt-out’. Your email address should not be a university email address.
  7. If you reject a placement from a camp (for any reason other than the camp not aligning with the preferences stated on your application) you waive your right to a refund.
  8. If you are unhappy with a camp whilst you are on review with them you need to let AmeriCamp Canada know as soon as possible so that we can work with to try to place you at a different camp.
  9. The dates indicated in your Placement Letter/Confirmation are considered your official contract and start dates. Failure to complete your contract will result in additional costs – see ‘Early Departures’ point 1.

Additions:

  1. While participating on the AmeriCamp Canada program you are required to check your online account regularly and provide AmeriCamp Canada with a current email address that you will access at least twice a week from the time of application through to the time you complete your trip to Canada. AmeriCamp Canada will not be held responsible for problems arising from failure to check your email regularly (including junk mail) or failure to notify AmeriCamp Canada of changes to your email address. Please remember you must not use a university or school email.
  2. During your participation on the program, you should check in with AmeriCamp Canada within 3 days of arrival to inform us that you have arrived at camp.
  3. You, the applicant, are the only person AmeriCamp Canada will liaise with in terms of your application/placement. AmeriCamp Canada will not provide information about your application or program participation to parents/friends/other family, unless you are involved in a medical emergency whilst in Canada, in which case we will contact the person you have listed on your application form as your “emergency contact”.
  4. AmeriCamp Canada and AmeriCamp USA have different fee structures. You will be responsible for making up any differences in fees if you change to the alternative program. If one program is more expensive than the other, you will be liable for any extra fees which are applicable. If one program is less expensive than the other then travel credit will be applied to your account.
  5. By submitting payment to AmeriCamp Canada and ticking your acceptance to this contract, you are bound by the terms listed in this program agreement. It is your responsibility to be aware of the terms and conditions of this program agreement. Failure to acknowledge this may result in the termination of your application and any job placements, without deferral or refund of program fees or third-party costs.

Documentation

  1. Your application form and references are legally binding documents. You agree that you have completed the application form yourself and that all of the information submitted is correct.
  2. Throughout the application process you must be honest with AmeriCamp Canada. All of the information you provide must be accurate in order for us to work with you to find you a placement. If it transpires that you were dishonest at any stage of the process, or withheld information from us that could affect our ability to place you, you may be removed from the program with legal action taken. Any refunds as a result of this will be at the discretion of AmeriCamp Canada.
  3. To apply to the program, you will be required to:
    • Submit a completed application form within the given timeframe;
    • Upload a personal application video to YouTube, named “*Your name* AmeriCamp Canada *Year of application*”;
    • Upload 2 completed AmeriCamp Canada reference forms to your application portal;
    • Upload a copy of your passport to your application portal;
    • Upload a photo of yourself to your application portal;
    • Pay all required program and third party fees within the given time-frame; and
    • Sign and comply with the terms of this program agreement.
  4. All materials submitted to AmeriCamp Canada become the property of AmeriCamp Canada. For more details on our data protection policy see the Data Protection section of this agreement.

Insurance

  1. When you are placed at a camp you will be enrolled onto a medical insurance plan; provided by a designated partner of AmeriCamp Canada.
  2. This medical insurance plan will cover you for a total of 63 days. If the included 63 days of medical insurance does not cover your trip duration, you must extend this before the end date of your policy. AmeriCamp Canada can assist with this prior to the end date only and it is your responsibility to ensure that you are covered after the 63 day time period.
  3. If you have a pre-existing medical condition(s) (this is any illness or chronic condition for which you have had treatment or medication in the 36 months prior to departing for camp) this is not covered by the medical insurance provided through the program. AmeriCamp Canada recommends that you obtain additional insurance to cover your pre-existing condition(s). You will need to upload the policy you have obtained within 30 days of your departure to camp. AmeriCamp Canada will need to verify that the insurance meets the requirements. If you do not obtain additional medical insurance, you accept responsibility for any costs of treatment in the event you need medical attention for your pre-existing medical condition(s) or any conditions that have arisen through pandemics or epidemics that have been deemed a notifiable disease by the WHO. It is your responsibility to obtain additional cover if required.
  4. AmeriCamp cannot be held responsible for any issues that arise as a result of an undisclosed pre-existing medical condition(s). By signing this agreement you agree to not withhold any pre-existing medical condition(s). Withholding this information could result in your termination from the program. In this case you waive the right to a refund and may incur additional charges.
  5. In the case of an accident or incident it is your responsibility to submit a claim form with all original documentation and/or follow the procedures set out by the insurance provider. AmeriCamp Canada is not the insurance company. All claims, processing, and queries are between you and the insurance company. You will receive a copy of your policy before you begin your AmeriCamp Canada placement. By accepting this program agreement, and if we do not hear from you within 24 hours of you receiving your policy, you accept the policy in full and are responsible for any circumstances that fall outside of the terms and conditions of the insurance policy.
  6. Travel insurance is not included within the program costs and we recommend obtaining additional insurance to cover any issues that may arise with your travel to and from Canada including, but not limited to, flight delays, cancellations, baggage loss and damage to personal items. AmeriCamp Canada will also not be held responsible in any event where flight changes or travel amendments must be made.

Criminal Background Check

  1. To participate in the AmeriCamp Canada program, you must apply for a current criminal background check within 2 weeks of placement at your camp by AmeriCamp Canada. For participants applying from the UK, all criminal background checks must be an ACRO, completed through NPCC only.
  2. For those applying for a Criminal Background Check outside of the UK, an equivalent police certificate for your country must be obtained. You will need to follow the Government of Canada’s advice on the required police certificate and how to obtain this.
  3. Once your background check has been processed, you must submit the report to AmeriCamp Canada by May 1st, 2021 or 6 weeks prior to departure to camp. If your Criminal Background check is not uploaded by this date, you will incur a non-refundable surcharge of £50 and your placement at camp may be affected.
  4. Canadian summer camps require that you bring the original copy of your Criminal Background Check with you to camp. Failure to do so is grounds for immediate termination and all fees incurred as a result of this will be your responsibility.
  5. If you have a current or spent criminal conviction you must declare this at the time of application.  If you are unsure how to detail these, please contact your local AmeriCamp Canada office so that we can discuss your individual circumstances. You may be required to complete your police background check (ACRO or equivalent) prior to acceptance so this document can be reviewed.
  6. If you are not a citizen or permanent resident of the country from which you are applying, you must also gain an additional criminal background check from your home country with an English translation.
  7. If you have lived abroad for more than 6 months (aged 18 or over) you will need to obtain an additional background check from these countries. You will be responsible for all fees associated with this.
  8. Your police background check is required to process your work permit documentation. Any delays in applying for your background check may delay this process which may affect your position at camp. In the event of this, AmeriCamp Canada will not process refunds nor be held responsible.

Visa (IEC or Employee Specific Work Permit)

  1. In order to participate on the AmeriCamp Canada program as a first-time, returning or direct placement applicant, you are required to obtain either an IEC (International Exchange Canada) – previously known as a Canadian Working Holiday Visa, or an employer specific work permit.
    1. If you are applying for a work permit, the immigration officer may choose to charge you the amount of $155 CAD at the border at their own discretion. Neither AmeriCamp Canada or your camp are liable for this cost and we cannot reimburse this fee in any circumstance.
    2. The cost of an IEC is $253 CAD. This fee is paid online once you have been invited to apply for an IEC. Neither AmeriCamp Canada or your camp is liable for this cost and we cannot reimburse this fee in any circumstance.
  2. If you choose to enter Canada on an employer specific work permit, there will be a £50 surcharge for the processing of your work permit package through our designated immigration lawyers. This charge is payable directly to AmeriCamp Canada and will be charged in addition to your program fees via your application portal. This cost is to be paid within 14 days of being placed at your camp.
  3. As well as either the IEC or the employer specific work permit, there will also be an $85 fee payable at the Canadian border for taking your biometrics. This is a third party cost separate to your program fee. Neither AmeriCamp Canada or your camp is liable for this cost and we cannot reimburse this fee in any circumstance.
  4. If you have applied for an IEC and have not been selected from the pool by the Canadian Government 4 weeks prior to departure to Canada you must contact AmeriCamp Canada and pay the £50 surcharge via your application portal as a matter of urgency so that we can process your work permit package.
  5. AmeriCamp Canada is not responsible for any delays to your departure for camp or non-fulfilment of your camp contract if you fail to notify us of your visa application status. Any charges or fees incurred as a result of this will be your responsibility, including, but not limited to; flight changes, camp cancellation charges and visa/work permit fees. These costs will not be reimbursed by AmeriCamp Canada. You may also incur a cancellation fee from AmeriCamp Canada, see “Refund Policy and Cancellation Policy”.
  6. You are responsible for informing AmeriCamp Canada if you are not eligible for visa exemption. If you are unsure as to what the visa rules and regulations are, please get in touch with the team at AmeriCamp Canada as soon as possible. Failure to notify AmeriCamp Canada of ineligibility for visa exemption within 14 days of applying will likely result in the cancellation of your application. AmeriCamp Canada is not responsible for this and will not issue any deferrals/refunds of program fees or third-party costs.
  7. When applying for the work permit at the border, it is your responsibility, as the applicant, to request additional travel time after camp if you require it.

Medical History

  1. As part of the application you are required to disclose to AmeriCamp Canada any pre-existing medical conditions. If AmeriCamp Canada feels that any of your medical conditions could affect your ability to safely participate in our program we reserve the right to remove you from the program. At this stage we will issue you with a full refund if you are deemed unfit to participate in the program unless you have not been open and honest with the information on your application.
  2. If you change any information on the medical form on your application after acceptance to the program or misinform AmeriCamp Canada, and it is deemed these changes will adversely affect your placement possibilities, AmeriCamp Canada reserves the right to withdraw your application from the program. In this case there will be no refund offered.
  3. If accepted onto the program, you must download the AmeriCamp Canada Health History form. This must be completed and signed by a medical professional – such as your GP. This must be completed per the instructions provided, and submitted to AmeriCamp Canada at least 4 weeks prior to departure for Canada. AmeriCamp Canada is not responsible for costs associated with this form. If you have any issues with obtaining a valid signature for your form you must contact AmeriCamp Canada as soon as possible for assistance.
  4. As you are working with children and/or vulnerable individuals Canada and/or your camp may require you to have vaccines or tests prior to attending camp. The costs associated with this are your responsibility. This may include but is not limited to; TB tests, MMR vaccines, written confirmation of a negative COVID-19 test and/or a COVID-19 vaccine. AmeriCamp Canada cannot be held responsible for obtaining these. You must ensure any necessary tests or vaccines are obtained in a timely manner before you travel. If you do not obtain the required tests or vaccines, your camp may remove your offer of employment. If this happens please contact the AmeriCamp Canada office as soon as possible and we will make you aware of the options you have. We may work to find you a new camp however we cannot guarantee that Canada itself or any other camp will not require these tests or vaccines.
  5. AmeriCamp Canada are not responsible for any issue arising from either a camp’s policy, the Canadian government, or local or national governments regarding COVID-19. If you cannot obtain written confirmation of a negative COVID-19 test due to the inability to take a test, or to obtain a result within a set period of time as stated by the Canadian government, your airline, local or national governments in Canada, your local or national government in the country you are applying from/your country of birth, or because you receive a positive result from a test within this stated time period, AmeriCamp Canada will not be held responsible. Please remember AmeriCamp Canada is not your camp, it is your responsibility to contact your camp as soon as possible for the next steps, in which we will assist you as much as we are able to.
  6. If you are required to quarantine on arrival to Canada, your camp must confirm if they can accommodate this. If you are scheduling flights or have booked them, you must ensure you are accommodating any required quarantine time. If your camp is unable to facilitate quarantine for you in terms of accommodation and general well-being, and it is a requirement of your travel due to circumstances outside of anyone’s control, it is your responsibility to ensure that you can quarantine for the designated period of time before arriving at camp.
  7. Your camp requires you to bring the original signed and completed health history form to camp with you. Failure to complete this form in your home country may result in your termination or you may be required to pay for a medical examination in Canada to avoid termination. The cost of this exam is expensive and will not be covered by AmeriCamp Canada or your travel insurance policy.

Refund Policy and Cancellation Policy

When you apply to the AmeriCamp Canada program and pay your fees to AmeriCamp Canada, you are paying for a service. We will support you throughout your application, find and secure your placement, support you with your visa or work permit application, and make sure that you are ready to go to camp. We are not responsible for the issuance of your visa (IEC or work permit), potential quarantine, criminal background check, medical forms, the running of your camp or travel to and from your camp.

  1. Once you have paid your application fee. If you withdraw your application before the interview and within 10 days of applying, we will issue a full refund of your deposit.
  2. After the interview, or after 10 days, whichever comes first, your deposit will be non-refundable. You understand that your deposit goes towards the costs of onboarding you onto the program, setting up your application and completing the interview process.
  3. The acceptance fee will not be refunded if you cancel from the program after acceptance. If you cancel for any reason outlined in “Point 7”, AmeriCamp Canada will consider a refund at its absolute discretion.
  4. If you change any information on your application after acceptance to the program that AmeriCamp Canada determines will adversely affect your placement possibilities, AmeriCamp Canada reserves the right to withdraw your application from the program. In this case there will be no refund or deferral option for your application.
  5. If you post anything deemed inappropriate by AmeriCamp Canada on the internet or social media (including applicant group chats) during your application process, we reserve the right to cancel you from the program without refund (please see Early Departures for more details).
  6. If you break any of the camp, province, or local authority laws during your time at camp (including time off), AmeriCamp Canada reserves the right to cancel you from the program without any refund or deferral option (please see Early Departures for more details).
  7. If you cancel due to the death of a grandparent, parent or sibling you will receive a refund of your Stage 2 payment only (less any cancellation fees if applicable such as Third Party costs). A written cancellation notification and a medical certificate must be received within 10 days of cancelling to qualify for a refund. You may also choose to accept a deferral of all your paid program fees to a later year or an alternative program via AmeriCamp USA or Invasion Camp Group.
  8. AmeriCamp Canada is not responsible for any fees incurred for obtaining your criminal background check, quarantine, medical forms or examinations, visa/work permit processing, additional training and any other third-party services. These fees are non-refundable.
  9. If you are unable to get to camp for reasons out of AmeriCamp Canada’s control, including but not limited to: government closure (temporary or permanent) of camps, acts of God, acts of war, strikes, pandemics or government restrictions or regulations, AmeriCamp Canada cannot process refunds. Your AmeriCamp Canada fees go towards processing your application, securing your placement and facilitating your visa application and paperwork. AmeriCamp Canada is not responsible for any case where you cannot fulfil your contract at camp for any reason above. For clarification Force Majeure is active as part of this agreement.
  10. If you are unable to travel or fulfil your contract due to any of the reasons listed in point 9, AmeriCamp Canada may transfer your application to a subsequent year. We will incur all costs relating to program fees and will credit the costs you have already paid to AmeriCamp Canada. This offer cannot be substituted for a refund of application fees.
  11. In the unlikely event that the AmeriCamp Canada program is terminated, changed, or amended (including, but not limited to, Force Majeure, government suspension of: temporary foreign workers, employer specific work permits, International Experience Canada (IEC) or Working Holiday Visas for first-time or returning applicants, we reserve the right to defer your application to the next summer, or credit your program fees to an alternative program at our discretion, however, the fees will be non-refundable.
  12. If you cancel from the program once you are placed (for any reason other than outlined in Points 7, 9 and 11), you will be liable for a cancellation charge of £329. This will need to be paid directly to AmeriCamp Canada within 10 working days. This may be passed on to a 3rd party debt collection agency if an agreement is not made within this time frame.
  13. If you are not placed by July 10th, 2021 you will be cancelled from the program. In this scenario, you will be able to transfer your application to 2022 or 2023. You may also be offered an alternative program via AmeriCamp USA or Invasion Camp Group.
  14. If you are not a student, we may offer to transfer your application to the AmeriCamp USA program. Some Canadian camps choose not to hire non-students. You, as a non-student applicant, understand that there may be a lower chance of placement.
  15. If you are unhappy with a camp whilst you are on review with them you need to let AmeriCamp Canada know as soon as possible so that we can work to place you at a different camp. You will need to provide a valid reason for your dissatisfaction e.g. the camp doesn’t align with the preferences on your application.
  16. If you have attended interviews with numerous camps or you reject a placement from a camp (for any reason other than the camp not aligning with the preferences on your application) you waive your right to a refund.
  17. In the event that the Canadian Government rejects your work permit application, or does not allow you entry into Canada, the program fees (including any surcharges) and third-party fees paid to AmeriCamp Canada are non-refundable. AmeriCamp Canada is not responsible for deferrals or refunds of any third-party fees.
  18. Failure to notify AmeriCamp Canada of ineligibility for visa exemption could result in the cancellation of your application. AmeriCamp Canada is not responsible for this and will not issue any deferrals or refunds of program fees (including any surcharges) or third-party costs. You have 14 days to notify AmeriCamp Canada of your ineligibility for visa exemption after you pay your application fee so that we can review your eligibility for the program. If you do not notify us within the 14 days, your application fee will be non-refundable in the event of your cancellation from the program.

  2. If you have not paid the program fees owed, we will send an invoice for monies owed to AmeriCamp, which must be payable within 30 days.
  3. Please note that the police background check and visa/work permit fees are third-party costs and will not be refundable at any stage of the application process.
  4. If cancelling after being placed, cancellation fees may occur and are outlined in point 12 of this section of the program agreement.

  2. If you have not paid the program fees owed, we will send an invoice for monies owed to AmeriCamp, which must be payable within 30 days.
  3. Please note that the police background check and visa/work permit fees are third-party costs and will not be refundable at any stage of the application process.
  4. If cancelling after being placed, cancellation fees may occur and are outlined in point 12 of this section of the program agreement.
Returner Applicants

If you are are a returner applicant, but choose to withdraw, the following will apply:

Defferals

  1. If you find that you are unable to travel to camp in Summer 2021, we may transfer your application to Summer 2022 or 2023.
  2. If you wish to defer your application you will need to contact the AmeriCamp Canada team as soon as possible to discuss your individual situation.
  3. If you wish to defer your application, please email Info@AmeriCampCanada.com with the subject “AmeriCamp Canada Deferral”. Failure to do so may mean your application is not withdrawn and you may incur charges.
  4. You will need to repay a deposit for the year that you rejoin the program. This is to cover the admin fees that transferring and setting up your application incurs, as well as conducting a new interview for the program. Any Stage 2 or 3 fees you have already paid to AmeriCamp Canada will be credited to your account.
  5. Your third-party fees cannot be credited to a subsequent year and will need to be repaid. These are separate from your AmeriCamp Canada program fees and AmeriCamp Canada is not responsible for these payments.
  6. If you defer your application and later choose to cancel your application, AmeriCamp Canada cancellation fees and/or camp cancellation fees may apply. See the Refund and Cancellation Policy for more details.
Placed Applicant Deferrals
  1. If you are placed and choose to defer your application, cancellation fees may be imposed by your camp. AmeriCamp Canada is not responsible for these payments. You will need to discuss with your camp whether they will waive the fees. This decision will be at your camp’s discretion.
  2. It is your responsibility to talk to your camp and see if they will defer your placement to a subsequent year. This is not guaranteed when you choose to defer. If your camp is not willing to honour your placement for a subsequent year, AmeriCamp Canada will work with you to find another placement.
  3. If you are placed at a camp as a first-time applicant, but choose to defer your application to a future Summer, you will still be classed as a first-time applicant, not a returner.
Applicants who Deferred in 2020 post March 16th

In order to ensure that applicants who applied for Summer 2020, but had their camp cancelled due to COVID-19, do not miss out on the summer camp experience, we offered to transfer applications to 2021 or 2022. If you deferred your application from 2020 after March 16th 2020, due to the Coronavirus pandemic, the following terms apply.

  1. All program fees paid in 2020 will be credited by AmeriCamp Canada for Summer 2021 or 2022. If you wish to defer to a different year you will need to discuss this directly with AmeriCamp Canada if you have not done so already.
  2. If your circumstances change meaning that you are unable to participate in the AmeriCamp Canada program in your chosen year, we will waive the cancellation fee and you will be able to cancel your application with no extra charge.
  3. The program fees for 2020 were:
    1. Stage One – £40
    2. Stage Two – £99
    3. Stage Three – £190
  4. If you have not paid your program fees in full, you will not be subject to the new pricing structure for 2021. You will owe the above fees in point ‘3’ in relation to the stage you were at in the process for your 2020 application.
  5. If you had a placement confirmed for 2020, it is your responsibility to let the camp know if you are wanting to attend that camp in 2021 or 2022. AmeriCamp Canada cannot be responsible for cancelled placements in a situation where you, the applicant, did not contact your camp. If you have not contacted your camp, you are required to let AmeriCamp Canada know and provide a reason for not doing so. We will then work with you to either confirm placement at the same camp or to find you a new placement. In the unlikely event that we are unable to find you a new camp placement, you will not be eligible for a refund but may be offered a deferral to a future year, or to an alternative program via AmeriCamp USA or Invasion Camp Group.

Pre-Departure Orientation

  1. AmeriCamp Canada provides a number of Pre-Departure Orientation meetings in your country to give detailed information about the program rules and life in Canada. Attendance is mandatory and failure to attend will result in the cancellation of your program without refund or deferral.
  2. If you are unable to attend on one of the dates provided, you will be able to request an e-orientation, however, this will cost £35. This fee must be paid prior to the e-orientation.

Travel to Camp

  1. You must pay for your own return flight(s) and transportation to your camp’s designated arrival meeting point in Canada. AmeriCamp Canada is not responsible for coordinating an airport pickup with your camp.
  2. We have partnered with a designated flight’s team, Invasion Flights, who will work with you to find flights to suit your dates and requirements if you choose to use this service. AmeriCamp Canada and Invasion Flights are separate companies. If you choose to use their services their terms and conditions are separate to your agreement with AmeriCamp Canada and must be treated as such.
  3. If you book your flights through any third-party booking agency (including Invasion Flights), you are bound by their terms and conditions. AmeriCamp Canada can not be held responsible for any changes or cancellations to your flights. As part of these terms and conditions and this program agreement, you agree for your contact details to be passed onto our chosen flight provider.
  4. Your full international and domestic travel itinerary to camp must be entered into your online account or otherwise provided to AmeriCamp Canada as soon as you have booked your flights. You must supply AmeriCamp Canada with full flight details no later than 4 weeks prior to your departure. If you are placed July 10th or later, you must supply AmeriCamp Canada with full flight details no later than 72 hours after placement or 24 hours in advance of your departure to Canada, whichever comes first.
  5. If you are not traveling directly to camp, you must provide a full itinerary including your contact telephone numbers and addresses for each day overseas until you arrive at camp. Failure to complete these travel requirements may result in your cancellation from the program, and no refunds will be issued.
  6. When entering Canada, you must ensure that you have entered the country on your IEC, ETA, or alternative visa (approved by AmeriCamp Canada). If you have entered on an ETA, you will have to apply for your work permit via Canadian immigration at the border. Failure to obtain a work permit at the border will make you ineligible to be part of the Cultural Exchange program in Canada, and you may be terminated from the program without deferral or refund of program fees or third-party costs.
  7. If you are applying for a employer specific work permit, you are responsible for presenting your work permit package (provided by AmeriCamp Canada’s designated immigration lawyers), medical form, police background check (ACRO) and your passport on arrival at immigration in Canada and at camp. If you fail to produce these documents, AmeriCamp Canada cannot take responsibility for any outcome.

Post Camp Travel

  1. You are responsible for travel costs after camp including, but not limited to, transportation, meals and accommodation. This includes travel costs to your Canadian departure airport for your return flight home or onward international travel.
  2. If you decide to book onto the New York After Party, all deposits are non-refundable. If you wish to transfer your place to someone else, please get in touch with the AmeriCamp Canada office, this will incur a name change fee of £30.
  3. If you decide to book with any other provider for your post camp travel whether or not it was recommended by AmeriCamp Canada, you will be bound to their terms and conditions. We will not be responsible for the amendment or cancellation of these trips.

Camp Contract

  1. The standard residential camp season is 9 weeks. You must arrive at camp on the date listed on your placement confirmation. Your pocket money will begin accruing on the first day of general staff training. Some camps exceed 9 weeks. In these cases, you will be required to work at camp until the assigned end date. In such cases where you may work longer than your contract working dates, you will be paid an additional amount. This will be factored into your overall salary when you receive your camp contract. This additional amount will vary depending on the province of your camp.
  2. Failure to complete your contract will result in additional costs. This could include travel, food, lodging and insurance amongst other necessities, which you are personally responsible for.
  3. If you need to end your employment early due to family circumstances or other emergencies you will need to contact AmeriCamp Canada as soon as possible. We will work with you in your individual circumstances and, in most cases, waive all cancellation fees. Upon receipt of written confirmation, we can offer to defer your application to a subsequent year so that you can still experience the AmeriCamp Canada program. Please note that AmeriCamp Canada will have already incurred all costs in this case, so this offer cannot be substituted for a refund of program fees.
  4. Under Canadian law, camps are required to deduct an average of 5% to 7% of your earnings as CPP and Unemployment insurance. You will not be able to claim back these taxes. If you pay additional taxes, you may be able to claim these back at the end of the calendar year. AmeriCamp Canada are not tax professionals and are not responsible for you not completing this process.
  5. As an AmeriCamp Canada participant you are required to apply for a Social Insurance Number and set up a bank account on arrival. AmeriCamp Canada provides assistance and instructions for this. In some cases, the employer (camp) will take responsibility for this process.
  6. Your camp pays a fee to AmeriCamp Canada to cover administration costs associated with your recruitment, selection, placement, medical insurance, and supervision. This fee does not comprise part of your salary; but it does form part of the total expenses paid by camp.
  7. AmeriCamp Canada is not responsible for the running of your camp. We are a recruiter and our role is to find you the job. You, as an adult, must take responsibility for fulfilling your role to the best of your ability. We cannot take responsibility for the actions or decisions of your camp, however, your camp policies must not supersede any Canadian Government regulations.
  8. The AmeriCamp Canada program is a cultural exchange program designed to educate participants on different cultures. You must participate in at least one cultural activity each week in order to expand your knowledge of Canadian culture and life. Your camp will provide you with resources for cultural activities in and around your camp.
  9. Camp is not a holiday and we do not want to advertise it as such. You are there to participate in a cultural exchange experience and, although you will have a great time, sometimes the camp environment will be challenging. You may be required to share accommodation with other staff and sometimes the children in your care. You will need to be prepared to live with your fellow staff and the children attending summer camp. Camp is not a 9-5 job and you may be required to work long hours. You will receive time off each day and on your days off. Details of your time off can be discussed with your camp before you head out to camp so you will know what to expect.
  10. You will receive a set allowance based on the program option you have chosen. The finalised amount will be confirmed in your placement letter. You will be paid by the camp director according to camp policy.
For Your 8-11 Week Contract You Will Receive:
  • First Timer Applicant – Camp Counselor: $1600-$1900 CAD. This can increase depending on the seniority of the position that you are hired for at camp.
  • First Timer Applicant – Support Staff: $1800-$1900 CAD for your summer camp placement.
  • Returner Applicants: You are responsible for negotiating your pocket money directly with your camp or camp director.

Early Departures

  1. If your placement at camp is terminated, or if you leave camp voluntarily, your participation will be cancelled and must depart Canada immediately. This includes anything that might happen during your time off. In this event, you will be liable for a contract cancellation cost of £329 to AmeriCamp Canada, payable within 10 days of being cancelled from the program. You may be charged a further cancellation fee depending on circumstances and how long you have been at camp, an amount up to a maximum of $1600 CAD. This will need to be paid directly to AmeriCamp Canada within 30 days of your placement being terminated.
  2. Fees paid to AmeriCamp Canada will not be refunded or credited to another year or program if your placement is terminated, or you leave camp early.
  3. Failure to pay AmeriCamp Canada’s cancellation fee within the 10 days (or 30 days for a higher amount), or failure to set up a repayment plan within 10 days (or 30 days for a higher amount), will result in AmeriCamp Canada taking steps to retrieve the debt, this may include taking the matter to a small claims court, or passing the debt to a debt retrieval agency.

Returners and Direct Placements:

In addition to all other points included in this agreement, the following policies pertain specifically to Returners and Direct Placements.

  1. A “Returner” is classified as a person who is returning to the same camp.
  2. You are NOT classified as a “Returner” if you are returning to Canada for an additional summer and are working at a different camp. In this instance you will be classed as a first-time applicant.
  3. A “Direct Placement” is classified as a person who sourced their own employment at a camp and AmeriCamp Canada did not facilitate the hiring process in any way.
  4. As a direct placement or returner you accept full responsibility for negotiating your pocket money with your camp and you agree to the program fees and third-party costs. You should confirm a salary with your camp and they will provide you with a camp contract. You must sign this and upload it to your AmeriCamp Canada portal within 14 days of your camp placement being confirmed or 1st May 2021, whichever is earliest.
  5. You must submit the following to AmeriCamp Canada before we can process your application:
    1. a complete online application
    2. a current criminal background check dated after 1st September 2020
    3. a health history form
    4. 2 reference forms
    5. this program agreement
    6. a photo of your passport
    7. an invitation to work at camp
    8. a camp contract or email from your camp director (must include a statement verifying you have been invited to work at camp and your proposed work dates and salary)
  6. Upon submission of all necessary forms and payments, AmeriCamp Canada will provide you with a work permit package (if this is your chosen means of entry), a pre-departure orientation (for direct placement applicants) and medical insurance for up to 63 days (as outlined in the insurance section of this program agreement). We also provide 24-hour support while in Canada.
  7. You are required to submit your travel details to your online account at least 4 weeks prior to your departure in order for us to activate your included insurance policy. Information required includes; airline, flight number, date and time of arrival, as well as your method of arrival to camp if you are arranging this yourself. You must also notify your camp of your travel plans. AmeriCamp Canada is not responsible for coordinating an airport pickup with your camp. Failure to complete these travel requirements in the time frame indicated may result in your cancellation from the program. In this case no refunds or deferrals will be issued.
  8. Lack of communication or engagement with the AmeriCamp Canada team or lack of progress on your returner or direct placement application may result in termination of your application. In the event of this you waive the right to a refund of your program fees or the transferral of your application to a future summer.

Data Protection

  1. By signing this form you agree that we can share the data from your application to third parties relevant to the application process and Invasion Camp Group. This may include, but is not limited to, Canadian camps who are considering your application, Camp.co.uk, our immigration lawyers, insurance companies and government departments (in Canada and your home country).
  2. You are required to share sensitive information with us during the process. This includes, but is not limited, to your medical and criminal history. In order for us to find you a placement at a summer camp you agree to disclose this information honestly and in detail. Failure to do so may hinder our ability to place you. In this case we reserve the right to remove you from the program and you waive the right to a refund.
  3. We will use the data that you provide for securing you a placement at summer camp and in facilitating your AmeriCamp Canada placement.
  4. You agree that your image and any media taken or recorded at AmeriCamp Canada events or during your AmeriCamp Canada placement can be used for AmeriCamp Canada marketing and promotional purposes.

AmeriCamp Canada Policy

  1. Throughout the application process you must be honest with AmeriCamp Canada. All of the information you provide must be accurate in order for us to work with you to find you a placement. If it transpires that you were dishonest at any stage of the process, or withheld information from us that could affect our ability to place you, you may be removed from the program with legal action taken. Any refunds as a result of this will be at the discretion of AmeriCamp.
  2. Any behaviour that AmeriCamp Canada deems inappropriate, inaccurate or prejudicial (this will include on social media channels and any other publicly available information that you share) will result in your removal from the program. In the event of this you waive your right to a refund.
  3. As a part of our agreement with you, we will treat you with respect and work to overcome any challenges that may arise in your application process. We ask that you treat all of the AmeriCamp Canada staff with respect and consideration. Any behaviour that negates this agreement may result in your removal from the program. In the event of this you waive your right to a refund.

Emergencies whilst in the Canada

  1. Whilst you are at camp you will be provided with an emergency number to get into contact with AmeriCamp Canada. This line will be available 24 hours a day, 7 days a week.
  2. By signing this agreement you are agreeing to only contact this designated phone number, which will be provided at the AmeriCamp Canada orientation, in a situation of emergency. If you have an issue that does not constitute an emergency you can contact AmeriCamp Canada via email at Info@AmeriCampCanada.com. We will look to get back to you within 2 working days. You can also call your local AmeriCamp Canada office number during business hours.

By submitting payment to AmeriCamp Canada and ticking your acceptance to this contract you are bound by the terms listed in this document.

These booking conditions are governed in all respects of English law. You agree that any dispute, claim or other matter that arises out of this agreement will be resolved in courts of England and Wales only.
